Job Description

What You Will Do:

We are seeking an Administrative Assistant/Receptionist to support our Phoenix team! In this role, you will assist management with maintaining an organized office environment. You will work with personnel to coordinate correspondence including answering phones, greeting customers and visitors, maintaining office equipment and supplies, making travel arrangements, completing expense reports, scheduling meetings and other office activities.

This on-site position is located at our Phoenix facility. You will report directly to the Senior Manager of Engineering.

How You Will Do It:

  • Provide front-desk coverage by answering phones, greeting customers and visitors, and managing incoming/outgoing mail and shipments.
  • Provide day-to-day administrative support to employees by filing, responding to email correspondence, generating and distributing letters, spreadsheets, forms, and faxes.
  • Plan, organize, and schedule group meetings and office activities.
  • Make travel arrangements and complete expense reports.
  • Answer employee questions related to company policies and procedures.
  • Work closely with human resources at headquarters to coordinate new hire onboarding and employee off boarding at the Phoenix office.
  • Coordinate office equipment, supplies, and setup for Phoenix employees with our IT department at headquarters.
  • Maintain lab equipment and manage shipments.
  • Manage facility needs related to HVAC, lighting, and security equipment with the property manager.

What We Look For:

Required

  • High School diploma or GED equivalent from an accredited institution.
  • Minimum one year of experience working in an administrative/receptionist or customer support role in an office environment.
  • Microsoft Office skills (i.e. MS Outlook, Word, Excel).
  • Excellent written and verbal communication skills.
  • Organizational skills including the ability to work independently and multi-task.

Desired

  • Office IT laptop/computer wiring experience.
  • Experience working with an ERP system.
  • Basic understanding of purchasing requisitions and purchase orders.
  • Technical writing, document control and coordination experience.
