We have an exciting opportunity to join our marketing team as an Executive Assistant at our corporate office in Nashville, TN.

POSITION SUMMARY

The Executive Assistant has a key role for our organization, providing administrative assistance and support to our marketing and communication departments.


Responsibilities

  • Provides administrative support for the Chief Communications Officer and Chief Consumer Officer and supports projects for the larger department
  • Assists in coordinating activities relating to meetings and conferences, including hotel and travel arrangements, preparation of support materials, meal planning and related tasks
  • Prepares and distributes correspondence
  • Prepares, revises and reviews various documents including contracts, corporate filings, PowerPoint presentations, etc
  • Maintains daily calendar and schedule for designated corporate staff members via MS Outlook.
  • Screens calls and visitors
  • Provides support to other departments when needed to cover for absences, heavy workloads, etc
  • Prepares reports, spreadsheets and related material as requested
  • Monitors supplies, special orders, etc. for designated departments

Qualifications

Education and Experience:

  • Associates degree or High School diploma required
  • 5+ years of experience as an executive assistant with a preference towards C suite support
  • Experience in or supporting marketing or communication leaders is a plus
  • Experience with Microsoft Office including Word, Excel, Outlook and PowerPoint
  • Experience with Microsoft SharePoint and PowerBI is a plus

Knowledge, Skills and Abilities:

  • Skill in organizing and prioritizing workloads to meet deadlines
  • Skill in telephone etiquette
  • Effective oral and written communication skills
  • Ability to interpret, adapt and apply guidelines and procedures
  • Ability to use good judgment regarding administrative issues
  • Ability to communicate effectively with managers and co-workers
  • Ability to use good judgment and to maintain confidentiality of information
  • Ability to work as a team player
  • Special annual events may require support outside standard work hours
