Overview

As an Administrative Manager for Civil & Environmental Consultants, Inc. (CEC), you will play an important role in the business operations by ensuring that support activities are carried out efficiently and accurately, working collaboratively with the Office Lead, and contributing to organizational goals. The Administrative Manager is responsible for planning, streamlining, and executing administrative workflows and procedures and coordinates office and facility services, maintenance activities, and interacts with landlords and property management companies. You will assist with document preparation and reproduction, help coordinate meetings and office activities, order and stock supplies, answer the phone, and maintain the project electronic filing system. You will also play a key role in our quality assurance program by verifying and requiring that appropriate quality reviews of proposals, reports, plans and documents have been completed. The Administrative Manager is responsible for ensuring coverage and workload balance, including management of the administrative assistant(s).

This role will also assist with planning and executing client events, and coordination of logistics for internal meetings, conferences and training. The Administrative Manager will support the office lead in communications between corporate personnel and their associated functions such as accounting, operations, marketing, human resources, and IT. Other responsibilities of this position include:

    Draft/review documents and presentations, suggesting changes where appropriate;
  • Provide administrative support for incoming and outgoing correspondence;
  • Communicate effectively with clients in person, on the phone, and in writing; and
  • Financial responsibilities including maintenance of checking and credit card accounts.
Qualifications
  • High School diploma - preferred B.A./B.S. in English, Marketing, Business or related degree;
  • 5+ years of experience in an office environment to include general accounting procedures;
  • Proficiency with Microsoft Office Products and Adobe;
  • Excellent communication skills;
  • Attention to detail;
  • Problem solving skills;
  • Ability to multi-task in order to meet short and long term deadlines;
  • Ability to speak and write professionally; and
  • Ability to manage confidential information with discretion and tact.
