Description:

The Senior Library Specialist supports Special Collections & University Archives (SCUS) public services. This position maintains the department's reading room and front-desk. Duties include staffing the reading room desk, providing reference assistance to researchers, and providing general office support for the SCUA department.

Duties & Responsibilities:

  • Serves researchers by working regular hours at the reference desk to respond to informational, directional, and other research inquiries in-person or online. When necessary, serve as a back-up in the reading room.
  • Guides researchers in the reading room in use of materials, databases, and finding aids to provide service to the public.
  • Monitors use of archival materials and equipment by researchers in the reading room to ensure safety, security, and preservation of records and equipment.
  • Record and maintain reference statistics using tools such as RefAnalytics and reference forms. Maintain appropriate files for researchers and materials used (reader applications, call slips, photocopy requests forms, sign-in sheets, etc.)
  • Perform maintenance of administrative and manuscript collection files.
  • Troubleshoot issues or concerns related to reference and refer complex issues to Public Services librarian or other Special Collections & University Archives librarians.
  • Monitor office and archival supplies and order as needed, serve as contact for building and facilities teams, as well as fulfilling other general office duties.
  • Register and assist in scheduling researchers for in-person research, which includes explaining library policies and procedures. Assist in maintaining researcher visitor calendar and organizing researchers' request for materials in advance of their visit. Coordinate photocopying and scanning requests by researchers with Library Operations Associate and assist in processing high resolution reproduction orders for the Digital Programs & Services unit.
  • Support the seamless circulation of SCUA materials and assist with stacks management duties, especially paging and refiling materials.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:

    1. High school diploma or equivalent.

    2. Any combination totaling two (2) years (24 months) from the following categories:

    A. work experience in a library or equivalent setting.

    B. college course work in any field as measured by the following conversion table:
    • 30 semester hours equals one (1) year (12 months)
    • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    • 90 semester hours equals two (2) years (24 months)
    • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    Preferred Qualifications:
    • Bachelor's Degree
    • Customer service experience or experience serving members of the public from all backgrounds and education levels
    • Familiarity with applications and interfaces such as Alma, LibApps, Chat, and ArchivesSpace, preferred
    • Ability to maintain confidentiality and an individual's right to privacy regarding appropriate information
    • Ability to maintain a professional and tactful approach in all interactions
