Summary of Job Duties:The Payroll Analyst is responsible for performing a wide variety of payroll related tasks that are standard or regular support duties within the department or program for researching financial data, preparing reports, and processing of regular and supplemental employee payrolls. This position is governed by Generally Accepted Accounting Principles, state and federal laws, and agency/institution policy.Qualifications:

Required Education and/or Experience

  • The formal education equivalent of a bachelor's degree in general business, finance, accounting, or related field;

  • At least one year of experience in payroll processing, payroll accounting, or related areas.

Other job-related education and/or experience may be substituted for all or part of these requirements

Preferred Education and/or Experience

  • At least three (3) years of experience in payroll processing, payroll accounting or related areas;

  • Workday experience (HCM, Payroll, Finance, Time Tracking and Leave);

  • Payroll experience in a higher education setting.

Job Duties and Responsibilities

Customer Service

  • Provide customer service for external and internal customers;

  • Explain policies and procedures, assist in training payroll employees, prepare responses to correspondence, and recommend changes in payroll production procedures.

Payroll Processing

  • Input and calculate personnel data into the payroll system daily, make applicable corrections to payroll records, and coordinate payroll corrections with other departments;

  • Audit payroll records, make necessary corrections, and balance records with the general ledger;

  • Research financial data, prepare reports, and input data on demand payments for employees;

  • Collect and process mandatory tax withholding in the payroll system for employees;

  • Collect and process banking information for direct deposit setup daily;

  • Input voluntary/involuntary deductions and communicate with third-party vendors; prepare direct pay forms, review and analyze data, make corrections, coordinate filing and imaging of payroll documents, and distribute reports, as required or requested;

  • Conducts thorough research on all time worked and time off that were approved;

  • Correspond with the departments and human resources to ensure payroll receives all the necessary documents when employees terminate or need to be placed on LWOP to ensure they are not overpaid;

  • Distribute reports to the HR Benefits team on the initial and final payroll run for each pay cycle;

  • Coordinate with HR Benefits team to resolve any issues or discrepancies from the data sent over by the vendor prior to submitting payment;

  • Review, reconcile and submit benefit deduction supplier invoices for settlement;

  • Assist with testing for upgrades and new system installation;

  • Assist with maintenance and training for payroll issues and questions through Service Now.

Reporting

  • Receive, complete, and return employment verifications in a timely manner;

  • Perform various accounting duties and assist with fiscal monthly and year-end closing reconciliations.

Supervisor Duties

  • May serve as a lead worker, providing training and guidance to fellow employees and establishing work plans, timeframes and/or deadlines;

  • May supervise a small support staff by interviewing, training, assigning and reviewing work of hourly/work study students.

Time and Leave Processing

  • Audit employees' work hours, time-off and leave for each payroll cycle;

  • Provide direction and assistance to departments with the timekeeping system, ensure all time is entered and approved accurately and on time; audit and input leave and time for each payroll cycle;

  • Administer vacation and sick leave audits for employees who terminated and/retired from the university;

Knowledge, Skills and Abilities

  • Knowledge of state payroll processing requirements;

  • Knowledge of standard government accounting principles and database management;

  • Ability to coordinate production of payrolls;

  • Ability to reconcile and balance payroll documents;

  • Knowledge of customer service techniques;

  • Ability to apply policies and procedures and other applicable regulations associated with payroll;

  • Ability to conduct research, perform quantitative quality assurance reviews, and prepare reports;

  • Proficient in MS Word and Excel; and

  • Ability to coordinate with other staff involved in payroll production.

  • Soft skills include; effective communication, emotional intelligence, adaptability, ability to utilize critical thinking, thriving in a teamwork and collaborative environment, and efficiency in time management and organization.
